Bills & expenses

Update selected categories

Change the lines you selected. Keep the rest as they are.

A little less friction.

Select category lines on a bill or expense and assign a category together. A searchable picker uses QBO’s available category choices and closes the native editor before returning you to row selection.

How to use it

  1. Open a bill or expense with category lines. Select the extension checkboxes beside the lines you want to change.
  2. Choose Bulk Update Category. Wait for QBO’s category choices to load.
  3. Search for the full category label, including its account number when displayed, and select it.
  4. Choose Apply or confirm with Enter. Review the changed lines and total before saving the transaction in QBO.

What that looks like

Illustrative example

Select two Office Expenses lines and assign Advertising. An unselected Services line keeps its original category, amount, and description.

Good to know before you start

What you need

  • Access to edit the bill or expense.
  • Category lines selected inside the supported line-items form.

Scope & limitations

  • This tool edits the form; it does not save the transaction for you.
  • Item/product lines and unrelated tables are outside the category-line selector.
  • If loading or an update fails, inspect the form before retrying. Do not assume every selected line changed.

Something look different? Visit help & support. QuickBooks changes its interface, and available controls depend on your company and permissions.
